EXECUTIVE ASSISTANT (Remote)

The role:

  • Anticipate needs (both big and small) and take care of them proactively
  • Manage calendars, coordinating with multiple team members, family members, vendors, tenants, clients, and others
  • Manage multiple email inboxes, making decisions, communicating on behalf of the executive, and delegating
  • Make travel arrangements and coordinate event planning
  • Handle invoicing and financial data entry
  • Manage timelines and track status of multiple projects
  • Keep the executive focused and efficient, with a clear vision of her projects, priorities, and timelines
  • Delegate tasks to the executive and other team members
  • Organize and attend meetings, take notes, ensure follow-up occurs
  • Support the smooth operation of the executive's household and personal relationships
  • Track birthdays, anniversaries, occasions and events (client, team, and family) and coordinate the sending of cards, flowers, gifts, etc.
  • Communicate regularly with master coaches and our operational team to ensure that everyone has the information they need and our vendors, clients and prospects have a smooth experience

If you have:
  • Dedicated work time during defined hours, without distraction or other responsibilities
  • A willingness to push back, speak up, and tell the executive what to do
  • Effective written and verbal communication skills

And are:
  • A person who loves nothing more than helping others succeed
  • Someone with impeccable follow-through and attention to detail
  • Able to track communication and be very responsive across multiple channels
  • Able to follow a defined process – and able to figure out what to do when no process exists
  • Able to take in a large amount of information and organize and summarize it quickly, both in writing and verbally

OUTREACH COORDINATOR (Remote)

The role:

  • Contact administrators (executive directors, education managers, curriculum coordinators, principals, etc.) to introduce our services and create connections
  • Educate potential clients about the variety of ways that our team can help them provide professional development for teachers and coaches
  • Schedule qualified meetings
  • Review meeting summaries/transcripts to determine and execute next steps
  • Create and send proposals, then proactively and persistently follow up until they are accepted
  • Find and track regional and national conference opportunities; coordinate presentation applications and sponsorship
  • Coordinate networking events and site visits related to conferences or other team travel
  • Keep detailed, organized records of your outreach and follow-ups in our CRM
  • Consistently meet outreach and appointment goals
  • Represent our organization with warmth and professionalism

If you have:
  • Remarkable persistence

  • Fantastic phone skills
  • Great writing and proofreading skills
  • A background in education (Head Start experience is a plus!)
  • Experience in marketing/sales (desired but not required)
